Version 2026-09 · In effect September 5, 2026

1. Who we are

Wdraw.com operates the Wdraw.com platform (also called “Wdraw2”), an online service for managing sports competitions and school olympiads: registration, draws, competition sheets, results, standings and messaging between organizers and clubs. This policy describes how personal information is collected, used, disclosed, retained and protected, in accordance with Quebec’s Act respecting the protection of personal information in the private sector, as amended by Law 25.

Person in charge of the protection of personal information: Alain Dumas — adumas1@videotron.ca.

2. Our roles

The organization renting the platform for its event (club, dojo, association, school or school service centre — “the Organizer”) determines the purposes and means of collection: it invites clubs or schools, opens registration and decides whether to publish results. Wdraw.com hosts and processes the information on the Organizer’s behalf, solely for the event, under a written contract providing for protection measures, confidentiality and destruction. Clubs and schools enter the information of their own members or students and are responsible for obtaining the required consents.

3. Information collected

Competitors: name, first name, sex, age, belt or grade, chosen events, meals and purchases, club, results, and weight when the Organizer runs weight categories. For a minor under 14, the name of the consenting parent or guardian and the date of consent.

Referees, volunteers and chaperones: name, first name, referee grade, attendance, meals.

Students in a school olympiad: first name, name, sex, school year, class, school, bib number and performances.

Club and school managers, organizers: name, first name, email, phone, username and password (hashed), last login date.

Messaging: the content of messages between organizers and clubs, attachments and voice messages, and their translation when that feature is enabled.

Wdraw.com collects no photographs, social insurance numbers, health information or IP addresses. Technical logs contain only the page visited and any error message.

4. Purposes

The information is used solely to run the event: check eligibility, produce draws and sheets, enter and publish results, establish standings and medal tables, invoice the club, communicate with managers and, for the next edition, seed the previous edition’s medalists. It is never sold or used for commercial or advertising purposes.

5. Consent

Registering a person implies their consent, or that of the holder of parental authority for a minor under 14; the registering club or school attests that it obtained this consent and keeps proof of it. A separate consent is requested for publishing the full name in the draws and results of the public page; without it, the name is abbreviated there. Consent may be withdrawn at any time (see section 10).

6. Disclosure and transfer outside Quebec

The information is accessible to the Organizer, the registering club or school, and Wdraw.com staff for technical support. It is hosted in Canada with a professional host. Message translation: when an organizer and a club use different languages, messaging may offer automatic translation; the message text is then sent to a translation service located outside Quebec. This feature is flagged in the messaging and can be disabled by the Organizer. No other information leaves Quebec.

7. Retention and destruction

An event’s personal information is kept for the period set in the rental contract (three months after the event by default), then automatically deleted from the platform: competitors, teams, students, messages, attachments and club accounts. Administrative data (name, date, number of entries per draw, contract) is kept without any person’s name. Backups are encrypted and overwritten on a fourteen-day rotation.

8. Security

Encrypted connections (HTTPS), hashed passwords, anti-forgery tokens, login attempt limiting, strict separation between organizations, attachment access restricted to authorized persons, error logging without personal information, backups outside the web root. In the event of a confidentiality incident presenting a risk of serious injury, Wdraw.com promptly notifies the Organizer, the persons concerned and the Commission d’accès à l’information, and records the incident in its register.

9. Cookies

Wdraw.com uses only a session cookie strictly necessary for login and a cookie remembering the chosen language. No advertising or tracking cookies.

10. Your rights

Anyone may request access to information concerning them, its correction, withdrawal of consent or cessation of dissemination. Contact first the registering club or school, or the Organizer; you may also write to Wdraw.com’s person in charge at the address in section 1. A reply is given within thirty days. You may file a complaint with the Commission d’accès à l’information du Québec.

11. Changes

This policy may be updated; the current version and its date appear at the top of this page. Significant changes are announced to organizers.
